Membership Database Intern

Position Description:

The Membership Database Assistant Intern contributes to the advancement of local public health practice by performing a range of responsibilities related to NACCHO’s Membership Services. For Local Health Departments and their staff, NACCHO is the premier source of learning, knowledge, and future-oriented research for local public health professionals and provides resources, education, ideas, and advocacy to enhance the voice and visibility of the critical role that local health departments play in keeping our communities healthy and safe.

The Membership Database Assistant Intern supports the work and activity of the Membership department, specifically membership database files and other duties as needed. The Membership Database Assistant Intern understands implications of internal and external policies that impact his or her position. The work involves partnerships with co-workers, members, vendors, and other external groups, and requires the exercise of discretion and independent judgment. The Membership Database Assistant Intern will collaborate closely with the Membership Manager, staff and NACCHO members to centralize, streamline, and improve Membership databases integrity, and ensures superior service to local health departments.

Hours

Negotiable and flexible between the hours of 8:30 am and 5:00 pm; 20 - 37.5 hours per week. The internship is paid at a rate of $20/hour. The intern must use a personal laptop or computer. The internship lasts for three (3) months. This internship is remote with optional in-person opportunities; DC, MD, or VA student is preferred.

POSITION-SPECIFIC DUTIES:

  • Updates the Membership database to ensure accurate data and to extract management data from systems.
  • Takes local health department staff information using through website searches, phone calls, and emails.
  • Updates required member information, addresses, and demographics within the Membership database.
  • Maintains database integrity by updating records with information obtained from member calls, member emails, member update forms or other sources.
  • Serves as key support agent for data entry for the membership and meetings team.
  • Assists with processing member renewal invoices under guidance of the membership team.
  • Helps as needed including but not limited to: NetFORUM AMS and other data related tasks.
  • Updates and maintains exhibitor and sponsor data in NetFORUM AMS and other databases.
  • Works with Membership Team to ensure that invoicing reflects the updated membership record.
  • Uses CRM Database management software to track exhibitor and sponsor engagement, including registrations, invoicing, and collections.
  • Meets external deadlines regarding marketing emails, program agendas and timelines, collateral needs, program ad requests, promotional emails, and other benefits included within affiliate partnership and sponsorship packages.
  • Performs other related duties, assignments, and projects as required.

Education/Experience

  • Student is actively pursuing a Bachelor’s degree or higher in relevant professional field or has an equivalent combination of education and experience, including a relevant certification. On occasion, extensive practical experience may be substituted for formal education, particularly if the technical specialty is unusually complex or when long experience has greater value to the organization than conceptual understanding.
  • Proficiency with Microsoft Office Suite
  • NetFORUM experience or other AMS experience preferred.
  • Ability to provide outstanding member service.
